Privacy Policy

Effective date: October 17, 2026

www.westwoodcarpentry.ca is the website of Westwood Carpentry, a carpentry company in Ottawa owned by Aaron Bartsch. This policy covers the personal information we collect through this website: what it is, why we collect it, who sees it, and how to reach us about it. We handle it in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

By sending us a form, you agree to us using your information as this policy describes.

What we collect

  • Contact, quote and booking forms: your name, email address, phone number, the address of the project if you give it, what you tell us about the project, and any photos you attach.
  • The fence designer: your name, email address, phone number, the address of the project if you give it, the fence you draw, and any photos you add. We keep the design with your enquiry. This form also records your IP address, which we use only to limit abuse.
  • Lumber reservations and the lumber wanted list: your name, email address and phone number, what you are reserving or looking for, and a delivery address if you ask for delivery. These forms also record your IP address, which we use only to limit abuse.
  • New lumber emails: if you sign up, your email address, the box you ticked, when you ticked it and your IP address. Every email has an unsubscribe link.

We collect nothing else about you unless you give it to us, by email, text or phone.

Why we collect it

  • To reply to you, prepare a quote, book a site visit, and do and invoice the work.
  • To hold the lumber you reserved and email you about it.
  • To email you once when we have the lumber on your wanted list.
  • To email you when we list new lumber, if you signed up for it.

We do not sell or rent your information.

Who sees it

Westwood Carpentry staff: Aaron Bartsch, the owner, and Jessica Smith, the office manager. Other members of our team see it only when they need it to do the work on your project.

We also disclose information when the law requires it, in a legal proceeding, to protect our legal rights, or to a buyer if the business is sold.

Services that process it for us

  • Supabase stores our records and the photos you send.
  • Vercel hosts this website.
  • Resend sends our emails, including the notice to our office when you send a form.
  • OpenStreetMap (Nominatim) turns a project address you send us into a point on a map.

They process it only to provide their service to us. Some of them store or process information outside Canada, including in the United States, where it is subject to the laws of that country.

The address check

When you check your address on our homepage, what you type is sent to Photon, an OpenStreetMap address-lookup service run by komoot, to find it on the map. We do not receive or keep that address unless you go on to send it to us through our contact form. The map itself is drawn from OpenStreetMap.

Visit statistics

Vercel Web Analytics counts page visits and clicks on our phone, text and email links. It uses no cookies and does not identify you.

The video on our homepage

The homepage video is played by YouTube (Google) in its privacy-enhanced mode, from youtube-nocookie.com. Loading it sends YouTube the details any web request carries, such as your IP address. YouTube does not store information about you from it unless you play the video.

Photos of our work

We publish photos of projects we have built. A project shows the neighbourhood and when we built it. It never shows the client's name or street address. To have photos of your project taken down, email us.

How long we keep it

We keep personal information for 10 years after your project ends or we last heard from you. That covers our warranties and our tax records.

After that, we delete your name, email address, phone number and street address from our records and from the services that store them for us, along with any photos and files you sent us. We keep a record of the work itself: what we built, the neighbourhood, when, and what it cost. Nothing left in it identifies you.

How we protect it

Your information is stored behind a staff login. No system is perfectly secure, and we cannot guarantee security beyond what is reasonably practical.

Children

We do not knowingly collect personal information from children under 13. If we learn that we have, we delete it.

Your access to it

You can ask what personal information we hold about you, how we have used it and who we have disclosed it to, and ask us to correct or delete it. Email our privacy officer, Jessica Smith, at jess@westwoodcarpentry.ca. If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada.

Changes to this policy

When we change this policy, we update the effective date at the top of this page.
